Client Onboarding

Get Us What We Need,
Then We Move Fast

This page shows exactly how onboarding works for every engine and what you need to provide so your project does not stall.

Clear checklist No back-and-forth Faster launch

Overview

Onboarding Is a Short Sprint

We collect access, assets, and approvals up front. That keeps the build clean and prevents delays. If something is missing, the project pauses until it is provided.

Your Job

Provide the checklist items and respond to approvals quickly. The faster you deliver, the faster we ship.

Our Job

Build, optimize, secure, track, and ship with clear communication. No surprises. No mystery timelines.

Fast Path

What Makes Onboarding Fast

One Place for Assets

Logos, photos, copy, brand notes, and links live in one folder. No hunting through email threads.

One Approval Thread

Feedback is grouped into rounds so nothing gets missed and revisions stay organized.

Access on Day One

Domain, hosting, and core accounts are ready before production work starts. No waiting.

Decisions Without Delay

You pick the option, we implement, and we keep moving. Indecision is the project killer.

Step by Step

The Onboarding Sequence

This is the order. We keep it simple so we can ship fast.

Pro Tip: Respond to approvals within 48 hours to keep momentum. Delays on your end delay the entire timeline.

1

Kickoff and Goals

Confirm objectives, target customer, key differentiators, and what success must look like. This shapes everything.

2

Access and Accounts

Domain, DNS, hosting, email, Google accounts, and any required platform logins. We need these before building starts.

3

Assets and Content

Logos (vector files), brand colors, photos, copy, service list, pricing, and any existing materials worth keeping.

4

Structure and Pages

Confirm page list, navigation hierarchy, primary calls to action, required forms, and any special functionality.

5

Tracking and Analytics

Install and verify analytics, conversion tracking, call tracking, and reporting baselines. If we cannot measure it, we cannot improve it.

Review and Approvals

Feedback in rounds. One request per comment. Clear approvals. Then we ship and move to ongoing care.

How to Avoid Delays

Do not send assets across five email threads. One folder. One source of truth.
Do not change strategy mid-build without calling it out as a scope change.
Do not wait a week to approve a round if you want a fast launch.

Engine Requirements

What We Need Based on Your Engine

Use the tab for your engine. If you are not sure, choose the closest match and we will confirm during kickoff.

For Creators

Fan Engine Checklist

Built for bands, musicians, artists, and creators. Fast setup if assets are ready. Timeline: 2-4 weeks.

Brand Assets

Logo files (PNG and vector), band photos (high-res), fonts if you have them, and brand colors (hex codes).

Core Content

Bio (short and long versions), streaming links, contact email, social handles, and any press quotes or features.

Shows Workflow

Tell us if you want to submit shows by email or via a form. We will set up the display and make updates easy.

Merch Payments

Stripe account for SureCart. If you do not have one, we can help you set it up during onboarding.

DNS Note: If you already have a domain, we will need DNS access or a point of contact who can update records when we are ready to go live.

Fast Launch Tips

  • Upload all assets into one shared folder
  • No screenshots of text or low-res images
  • Send the real logo files, not pulled from social
  • Have your streaming links ready to go
Send Onboarding Assets

If you do not have a shared folder, we will provide one.

For Businesses

Foundation Checklist

Analytics Access

Google Analytics, Search Console, Tag Manager if you already have them. If not, we will set them up.

Important: NAP Consistency

Your business name, address, and phone number must match exactly across all sources:

  • Google Business Profile
  • Website footer and contact page
  • Social media profiles
  • Business directories
For Appointments

Follow-Up Messages

Confirmation email/text content, reminder timing (24hr, 1hr, etc.), no-show policy, and review request tone.

Calendar Access

Connected calendar (Google, Outlook, etc.) and any staff calendars if multiple people take appointments.

Expected Outcomes

  • Fewer no-shows with automated reminders
  • More reviews with automated follow-up
  • Time saved on scheduling back-and-forth
  • Better data on booking patterns
For Scale

Growth Engine Checklist

Foundation plus capture methods, lead validation, scoring, enrichment, routing, and ad management. Timeline: 8-12 weeks.

Lead Definition

What counts as a qualified lead (job size, location, service type) and what should be filtered out as junk.

Routing Rules

Who gets what lead (by service, location, or value tier) and what should happen next automatically.

CRM and Inbox

Where leads should land. EspoCRM is typical. If you use something else, tell us your stack and we will confirm compatibility.

Tracking Requirements

Call tracking, form tracking, attribution rules, conversion events, and reporting expectations.

If ads are involved: We will confirm ad spend budget, conversion events, landing page strategy, and proof-of-performance reporting during kickoff. Minimum $1,500/month ad spend required.

The Bottom Line

Stop paying attention to junk leads. The system filters and prioritizes so your team spends time where money is.

Hot leads route instantly. Warm leads enter nurture. Cold leads get filtered out before they waste your time.
